General House Rules & Terms and conditions
By proceed to completing the booking, you (and your group) as a customer forms a contractual licensor-licensee relationship with Sleeplicity London Heathrow based upon the terms and conditions set out in this page.
General House rule
You must not:
- smoke anywhere indoor, this includes any e-cigarettes. Designated outdoor smoking area is located at our garden, any evidence of smoking in rooms will result in a minimum of £100 cleaning fee deducted from the saved card in the booking;
- bring in any extra visitors exceeding your room capacity at anytime. 24hrs CCTV operates in the communal area, we reserve the right to check on occupancy, any extra guests exceeding room capacity found will be asked to leave immediately and we reserve the right to charge a fee of £50 for each extra guests found to the card saved in the booking;
- make excessive noise that can disturb/create nuisance to other guests/local neighbours from 10pm to 8am daily;
- bring pets onto our premises (guide dogs can be exempted only with reasonable advance communication and agreement from us in written form(MUST));
- use any electrical appliances that may set off the fire alarm system, this includes any cooking appliances (except for the communal microwave/kettle and any refrigerator units provided), preparation of food in the Room by any type of cooking appliances is prohibited and is in bleach of our guest house insurance policy. A minimum of £100 will be charged for cooking in the Room, including, but not limited to using and/or involving toaster ovens, rice cookers, heating appliance, or any other items intended for cooking. A microwave is available 24 hours for all registered guests to use in our communal refreshment area on G/F;
- allow any prolonged use of items that shall give off ongoing smoke/mist that can potentially set off our smoke detectors in rooms, some common examples are hair straighteners/curler, iron steamer etc.. Iron/ironing board is available in our common area for guests use;
- use any fire alarms or emergency equipment unless in emergency;
- use our rooms for any purposes apart from accommodation, any business/illegal/immoral activities found will be ejected immediately and reported to the police where appropriate;
- prevent our staff from accessing to your room when required upon reasonable grounds with appropriate notice;
- remove or damage any property in the room, lost/damaged property will be charged to the card used for the booking, applicable charges for such items can be found
here;
- use our Wifi for any online fraud activities/cyber crime, guest is responsible for their own action when connected to our Wifi.
If you/your group breach the above rules deliberately and repeatedly and cause continuous nuisance including but not limited to those stated above that will jeopardise the business property/operation or other guests stay/property, Sleeplicity London Heathrow reserves the right to:
- cancel your reservation and eject you from the building where appropriate;
- void any issued / refuse any future access code of your stay;
- remove your items from the room at no cost and liability;
- refuse and cancel any future reservations from you (or your stays even if the booking is made by someone else)
- report to the police where the above actions are not effective
Sleeplicity London Heathrow will not be liable for any refund or compensation in such circumstances.

Making reservation & Check in:
- You must be at least 18 years old to book and stay, guests at the age of 3-18 can only stay when accompanied by parents/guardian, we cannot accommodate infants under the age of 3 due to facility health & safety. We reserve the right to request a valid photo ID for a proof of age, guests who failed to present an age proof when being asked will not be permitted to stay.
- Bookings must be placed online in advance, we only accept card prepayment in order to complete the booking, no cash is accepted. Sleeplicity London Heathrow uses Sirvoy (https://sirvoy.co.uk) as our official website booking engine, with payment securely processed via Stripe (https://stripe.com/gb).
- The price you pay includes Room Only rate, the room rate may fluctuate based on demand and can go up or down at any given time. The price you pay represents the rate at the time of your booking and is VAT inclusive. In case of a VAT changes between the date of booking and your stay date, we will adjust the VAT accordingly but the price you pay will remain the same.
- The "best available rate" represents the best available price for the same room (with the same policy offered) when the room is booked at the same time, prior to any membership/loyalty programmes/offers/promos/coupons etc. applied via other website/channels, which will change the initial price shown.
- Any coupon codes are applied to the aggregate value of the booking (VAT inclusive) and are subject to our general Terms and Conditions. Coupon codes only applicable when booking is placed directly from our website (https://www.sleeplicity.co.uk/booking) and are not applicable for any other third party redirected sources. Coupon code must be entered in to the "Add a coupon code" field on the booking page and applied for the discount to be deducted from the final room rate, discount cannot be re-applied after booking is completed, unless stated discounts cannot be combined and only one code can be applied to a booking. Sleeplicity London Heathrow reserves the right to amend or withdraw any offers at any time.
- All bookings are non transferrable, non amendable and non sellable unless otherwise specified, no refund will be issued for No Shows, early departures and late arrivals.
- Check-in hour starts from
15:00 and ends at
22:00. You may not be able to check-in if you arrive early / failed to arrive before check-in closes, no refund will be issued for any unspent bookings.
- Early check-in requests (from 12midday earliest) must be pre-booked and are subject to room availability and housekeeping work on the day, a Non refundable surcharge will be applied for Early check-ins, please get in touch for details.
- Guests are required to present a valid debit/credit card to complete check-in as security deposit guarantee for any penalty/charges arise from your stay in accordance to our terms, failure to complete a card authorisation may result in your booking being cancelled without refund.
- In case of booking that are made on behalf of somebody else, the guest staying must be able to present relevant booking confirmations to our staff in order to check in, the actual guests who are staying shall in this case, present a valid debit/credit card for the security deposit mentioned in the preceding clause.
- You are responsible to check all the details before completing the booking, booking confirmation will be sent to the email address / phone number provided during the reservation process. If you have made the reservation by mistakes, please contact us immediately and we will deal with the situation on a case by case basis.
- We reserve the right to change your room allocation during your stay for any reasons and to make alternative arrangement at other locations or cancel any booking(s) due to unforeseeable circumstances or health and safety issues. We also reserve the right to cancel any booking(s) that are completed due to any IT related issues resulting an obvious abnormal room rate. In case of a cancellation, we will attempt to notify you using the contact details provided in the booking and a full refund will be processed to the same debit/credit card.

Card Authorisation:
- All guests are required to save a valid guest name matching debit/credit card to complete check-in process as security guarantee for any damages or penalties in accordance to our T&C.
- Card types such as Prepaid cards or certain non 15/16 digit cards cannot be technically accepted as security guarantee due to the nature of such cards, in these cases a pre-authorisation/actual charge of £100 will be charged at check-in and is fully refundable after check-out given that no applicable charges/penalties to be deducted in accordance to our T&C
- The card presented must be in the name of the named guests in the booking, in case the bookings are placed on behalf of someone else, the actual guest must present a card under their name in order to complete the checkin process.
- A "saved card" is not a charge. There will be £0.01 temporary deduction in order for your bank/credit card company to confirm the validity of your card.
- In case of any applicable penalties/charges in accordance to our Terms and Conditions, up to £100 will be deducted from the saved card within 30 days from your check-out date, invoice with any relevant evidence (if any) will be sent to your email address held with us. If the card cannot be charged successfully, there will be repeat attempts for the transaction until complete. We cannot take responsibility for any bank or credit card charges should your account become overdrawn as a result of this.
- In case of damages exceeding £100 is found, guests will receive further invoices from us with any relevant evidence (if any)
- Guest can settle any incidentals with this card or a different one. We won’t then use the saved card.
- All card details provided are securely processed and stored via
Stripe payment system. Sleeplicity London Heathrow does not have access to the full card details saved under your booking, any transactions to the saved card will be shown as "SLEEPLICITY" on statement. If you have any queries/problems regarding the saved card details after check out please contact your issuing bank/credit card company.

Cancellation/Alteration policy:
- Bookings made are non refundable unless otherwise specified, any unspent nights including no shows, late arrivals and early departures will not be refunded;
- We will process one free alteration request with 14 full calendar days advance notice from checkin time (UK time). A £20 admin fee applies for each change thereafter (with 14 calendar days advance notice);
Alteration requests submitted within 48 hours to 14 full calendar days from checkin time (UK time), regardless whether its the first change or not, the cost of your first night stay will be deducted;
No alterations will be accepted when alteration requests are submitted within 48 hours from checkin time (UK time); - Charges apply when the value of the amended booking is higher than the original one while no refund will be issued for an amendment which result in shorter stay/lower value than the original booking;
- These policies apply for Direct Website bookings only, bookings made via OTAs (e.g. booking.com) are subject to the respective cancellation policies;.

Check out:
- Sleeplicity London Heathrow operates express check-out and no check-out procedures are needed, please leave the “Please clean my room” sign as you depart to assist our housekeepers’ work.
- The person (i.e. the cardholder of the saved card) will hold responsible for the use of the room during your occupancy, any costs/penalties listed in these terms and conditions arise from the stay will charge towards this card regardless of who is actually staying in the room.
- In case of items left behind from your stay that we have identified as potential lost & found and have managed to pick up for you, we will contact you via the email/ phone number provided. We will keep the items for 72 hours before disposing/donating them to our local charity shops if we receive no responses.
- Late check-out request is subject to additional charges and room availability, if you do not check-out by 11am, late check-out surcharge will be applied to the card used in the booking for a late check-out up to 1pm and after that one additional night rate (subject to the rate on the day). Sleeplicity London Heathrow reserve the right to enter the rooms to eject guests who failed to leave after check-out after reasonable notices.
- We will dispose any personal belongings in the Room once the Guest has checked out with no liabilities to the Guest or its occupiers;

Parking:
- Our free parking spaces are for guests use only, and is limited to ONE vehicle per booked room.
- Free parking spaces are first come first served and cannot be reserved.
- In order to allow your vehicles to use the free parking spaces on site at any point during your stay, guests must provide vehicle registration number to us to register your vehicle.
- Guest Free parking session for registered vehicles means the duration between check-in time (15:00) on check-in date until the check-out time (11:00) on check-out date.
- Vehicles arriving early prior to check-in time is subject to parking charges
(see tariff), surcharges are exempted when vehicles arrives within 30mins grace period before check-in time. Unless otherwise permitted by us in written format, vehicles parked on site prior to check-in hour (15:00), whose vehicle is not yet registered will be regarded as unpermitted parking and will be issued £100 Parking Charge Notices (PCN), these PCN can be cancelled by paying the overtime charges at check-in
(see tariff).
- Vehicles will be given 30mins grace period to depart after check-out time, vehicles remain on site after the grace period is subject to parking charges (see tariff). Unless otherwise permitted by us in written format, vehicles remain on site after grace period will be automatically charged for overtime parking hourly fee from the card saved in your booking
(see tariff) or issued PCN where applicable.
- Applicable hourly parking charges are charged hourly, any incomplete hours are counted as full hour, In/Out time are recorded in accordance to our camera images/footages.
- Vehicles must park within the lines indicated and not to occupy other spaces, we will notify the owner to remove vehicles that cause obstructions to other users.
- This site is camera controlled to capture vehicle images including vehicle number plates, Sleeplicity London Heathrow reserves right to issue PCN of £100 via our parking management company to any unpermitted parking and/or parking in breach of our T&C found on site.
- Despite 24hrs CCTV operates at the parking space area, all persons using the space do so at their own absolute risk, Sleeplicity London Heathrow is not in any way responsible for any loss, injury or damage to vehicles and their contents left.
EV charging facilities:
- EV charging facilities on site is available for registered vehicle of guests only and is subject to availability on a first come first served basis
- You must book and pay to activate the charging station with us using the contact details provided before using the facility
- By using the EV Charging station, you agree to / acknowledge that :
- take all reasonable efforts to make sure you follow the instructions that are displayed on or near the Charging Station at the time.
- follow the driver’s handbook for your EV which describes how to recharge your EV safely and efficiently, and it is your responsibility to recharge your EV in accordance with the guidelines of the handbook. instructions in your vehicle's EV handbook shall always be followed as priority to the instruction of the Charging station.
- when activating the station, you agree to pay for the amount as stated using your saved card for your booking / other payment methods you have nominated otherwise.
- charging session ends at check-out time on check-out date of your booking regardless of the session start time, overtime parking fee/PCN are applicable as mentioned in the previous terms of this section
- only use the Charging Station for recharging an EV that is compatible with the Charging Station.
- not to use the Charging Stations in a way that will put the Charging Station, the building and its property, you, any other person, your EV or any other person’s EV at unnecessary risk,
we reserve the right to immediately remotely suspend, modify or restrict your access to the Charging Stations to which these Terms and Conditions apply.
- we take all
reasonably practicable effort to keep the Charging Stations free from any faults, errors or defects, and to put up instructions on how to use the Charging Station as we are able to practicably make them,
but we cannot guarantee, nor accepts any obligation to ensure the availability, compatibility, or performance of the Charging Station, nor are we able to guarantee an uninterrupted supply of electricity to the Charging Station;
- use the charging station at your own risk, including but not limited to any potential effects to your vehicle.
- In the case of an emergency we can remotely stop charging sessions on the grounds of safety.
- If there are any faults or you have any issues with the Charging Station, please contact us using the contact details provided.
- You may be liable to us as a result of any direct loss or damage that the Charging Station may suffer as a result of you using or having used our Charging Station negligently.

Bar:
- Our bar operation hours varies, please refer to our notices on site.
- We operate the bar in strict accordance to the Premises Licence of our business, our staff are authorised to enforce any rules set out by the Designated Premises Supervisor (DPS) and any related requirements from the Premises Licence, including but not limited to age checks.
- Our bar fridge is solely used for storing merchandises of the bar and is kept locked and CCTV supervised at all times, any operations and purchases of alcohol can only be done with our staff’s presence.
- Only card payment is accepted for bar purchases.

Laundry service:
- Guest can purchase our laundry bags from us (price as shown at the reception desk). The laundry bag is “All you can fill” and can fill up to approx. 3kg of laundry when full.
- Please empty everything from the pockets of your laundry. Sleeplicity London Heathrow will not be responsible for these damaged items during the laundry cycles.
- Please place your bag outside your room by 12 midday, items will be returned to your room for collection before 3pm the next day.
- All contents in one bag will be processed with ONE machine cycle (Wash, Tumble dried and Fold), you should only fill the bag with washable & tumble dryable items and like-colours to avoid discolouring or damages.
- Iron and ironing board are located behind the door near our vending machine, these can be borrowed for free if needed, please return them like how you find it.
- Despite every effort and care when processing the laundry received, Sleeplicity London Heathrow will not be responsible for any loss/damages.

These terms and conditions operates in accordance with the English law, any parts of these terms and conditions that deemed invalid, illegal or for any reasons unenforceable shall have no effect on the validity and enforceability of the remaining parts, we will review the situation on regular basis and reserves the right of final decision in case of any disputes.. Your personal information provided during the course of booking will only be used for communications regarding your particular stay unless you consent to receive future promotion materials from us.
